Westwood Club is seeking an experienced and qualified professional to join our team as Director of Racquets. The club is a member-owned, not-for-profit swim, racquet, social and fitness club centrally located in Winston Salem, NC. Our club currently has over 400 member families, many of which are active in our racquet sports program. There are (8) Har-Tru Clay Courts and 2 Pickleball/Platform tennis courts. The club currently offers weekly junior and adult clinics, private instruction, junior summer camps, social events and tournaments.
This position will report directly to the Club Manager and Board of Directors, and is responsible for all day-to-day operations of the racquets program and facilities, management of Assistant and Teaching Pros, Maintenance Staff and Support Staff. The Director will Oversee scheduling of court time to provide appropriate balance of clinics, open courts for seasonal court usage, private instruction and league play to maximize participation and enjoyment for all members.
Job Duties Include (but are not limited to):
Hiring, Staffing, Leadership
• Attract, hire, train and retain teaching and maintenance staff.
• Treat all members fairly and with respect while ensuring Club Rules and Policies are adhered to, as set by the Board of Directors.
• Comply with/assist in enforcing all Club employee regulations and policies established by the Club Manger and Board of Directors.
• Schedule Assistant and Teaching Pros, Maintenance Staff and Support Staff to meet membership needs and demands, adjusting seasonally when necessary.
• Represent the Club in outside leagues and tournaments to strengthen Westwood name recognition as schedule allows.
Finance and Budgeting
• Work with the Club Manager and appropriate Board Committees to prepare the annual racquets operating budget.
• Implement and manage the approved operating budget once approved.
• Recommend Lesson, Clinic Fee and Guest Fee structures for approval by Racquets Committee.
• Monitor collection of all fees (eg clinic, lesson, guest, league).
• Assure accurate and timely billing of member charges.
• Provide payroll reports and monthly commissions to Club Accountant on time and with appropriate documentation.
• Oversee the Pro Shop operation, including but not limited to ordering of merchandise, sales, monthly inventory, stringing, and reporting to the Club Manager and Club Accountant for Finance Committee reports.
Annual Racquets Programing
• Build an Annual Club Calendar in coordination with the Club Manager, Racquets Committee and Social Committee with programing for juniors and adults including but not limited to Fall Club Championships, Spring Member-Guest, Parent-Junior Tournaments, and Round Robin Tournaments on Memorial Day, July 4th and Labor Day, in addition to regular racquets social events.
• Coordinate with the Club Manager to ensure events are properly staffed, have required F&B, set up & breakdown, trophies, gifts, etc.
• Review and benchmark programs both internally and against other Clubs in the area.
• Assist in the coordination of adult and junior league play, club ladders and teams, etc.
• Oversee Men’s, Ladies and Co-Ed open play.
Teaching and Instructional Programming
• Develop an inclusive instructional program for all members, offering programing during weekday evenings, weekends, during the day and after school, adjusting for seasonal needs.
• Schedule Clinics and Camps to maximize participation and service to the greatest number of members.
• Ensure that clinics offered are reflective of membership needs.
• Supervise the instruction of all clinics and camps with a preferred 6:1 ratio.
• Coordinate the distribution of private lessons with Assistant and Teaching Pros.
• Oversee the implementation of a comprehensive junior development program, including instruction and match play opportunities.
Communication
• Promote all aspects of programing to the membership accurately and in a timely fashion using all methods of available communication including but not limited to Club website, Club emails, work email, phone calls, etc.
• Communicate weekly clinic and camp information to membership in a Weekly Email schedule for the Sunday morning prior to the start of the week.
• Compile reports for and attend monthly meetings of the Board of Directors and any Board Committees.
• Ensure that late changes in scheduled programing, clinics or lessons due to weather, instructor absence or failure to meet clinic minimum attendance is communicated via phone.
• Issue regular club updates concerning tennis programing to the Club Manager.
• Provide timely and relevant information and updates for the racquets portion of the Club website and monthly newsletter to the Club Manger.
Facilities and Grounds
• Oversee the courts to insure a first-class playing experience for members and their guests in coordination with Maintenance Staff and Support Staff.
• Oversee the annual resurfacing of (8) Har-Tru tennis courts each spring and necessary cleaning of pickleball courts.
• Ensure all areas of the racquet’s facilities are always neat and clean.
• Inspect courts (or delegate inspection) at the start and end of each day, noting any maintenance that may need to be performed, and communicate with appropriate staff.
• Ensure all necessary personnel are hired and trained to the standards set by the Board of Directors.
• Work to ensure all Maintenance Staff and Support Staff have the necessary equipment for maintenance and upkeep of the facilities on site, and is properly maintained.
• Inspect on a periodic basis quality of playing surfaces, fences, windscreens, benches, water coolers, etc and make recommendations for improvements.
• Keep the Club Manager informed of any needed purchases.
Knowledge, Skills and Abilities
• Bachelor’s degree from 4-year college or university.
• Minimum 2 years as a Director of Racquets, or 6 years of experience as an assistant/head tennis professional in a private swim/racquet club environment or comparable experience at a country club.
• Knowledge of designing a variety of tennis, pickleball and paddle tennis programing for members of all ages and skill levels.
• United States Professional Tennis Association (USPTA) and/or Professional Tennis Registry (PTR) certified.
• Knowledge of proper maintenance of Har-Tru clay court with above ground watering system and pickleball courts.
• Ability to work outside in varying weather conditions and to lift upwards of 50 lbs.
• Must be able to physically perform all stances, strokes, swings, positions, and approaches associated with the discipline of modern tennis.
• Excellent Communication, Customer Service, Organizational Skills and Attention to Detail
• Drivers License and Reliable Transportation
• Eligible to work in the United States
• Knowledge of Microsoft Office and Clubessential website software is preferred but not required
• Relevant business experience to maintain pro shop and assist members in selection of equipment best suited for their needs.
Compensation:
• Competitive base salary based on experience
• Variable Compensation for Instruction
o Clinics/Camps:
Club takes 10% and is responsible for all employment record keeping, withholding, and payment of employer’s portion of payroll taxes for Director, Assistant and Teaching Pros.
Director retains 30% of total of all camps and clinics, regardless of on-court time. Assistant and Teaching Pros retain 60%, split at the Directors discretion.
o Private Lessons:
Director gets 100% of his own private lessons (net of withholding and employee’s share of employment taxes).
Director retains 10% of all private lessons taught by Assistant and Teaching Pros.
o Pro Shop:
Club owns inventory
Director receives 100% of net profit on sales of tennis merchandise including but not limited to racquets, paddles and balls and racket stringing (net of sales tax, portion of stringing fee Director assigns to assistant pro, employees’ share of employment taxes, and withholding)
