SUMMARY The Tennis Supervisor is a key leadership role for the tennis team. He or she assists tennis management in departmental training, communication, upholding Forbes and Rancho Valencia standards, operating supplies control, inventories and ordering, adjusting, team schedule, floor supervisor duties, overseeing tennis concierge and attendants, maintenance requests and serving as an ambassador and liaison for team members. ESSENTIAL FUNCTIONS • Perform a weekly operating supply inventory and draft orders for approval within budget • Perform daily walk-throughs and inspections, scheduling quarterly maintenance, report to repairs/maintenance needed and follow-up on status • Assist in tennis operation as needed • General Floor Supervisor • Assisting with invoices, cross referencing schedule for accuracy of billing, tracking, coding and accruals. • Spasoft/Mindbody admin tasks- schedule changes, troubleshooting issues, member set up, audit No Show charges, etc. • Tournament, league, and private session scheduling coordination • Special project assistance • Research and follow-up on Member billing inquiries • Assist with training new colleagues as needed • Escalates staff performance issues to management for handling • Actively cross promotes spa and wellness services, retail, tennis and dining • Maintain a professional appearance and demeanor. Monitor staff grooming and report any discrepancies from the grooming standard to a manager. • Attend and support management in leading all team meetings and trainings. • Maintain a neat, sanitized working areas • Actively participates in safety programs, abide by all injury reporting and safety behavior requirements, coach team on safety standards. • Participates in and supports Hotels efforts towards community service, sustainability and environmental initiatives. • Attend daily line-ups as needed and communicate pertinent information to team. Conduct tennis shift line-ups as needed. • Assists with Floor Supervisor shifts as needed. • Performs other duties as directed, developed or assigned. QUALIFICATIONS Required • Minimum of two years of experience in a tennis facility setting. Luxury club environment preferred. • Ability to communicate in English with vendors, guests and staff to their understanding. • Excellent eye for detail, ability to multi-task and work in a fast-paced environment. • Available to work holidays, mornings, evenings, and weekends. • Ability to courteously interact with all co-workers. • Knowledge of Microsoft Office programs including Word, Excel and Outlook. • Strong communication skills. • Organizational skills and excellent follow-through. • Positive and flexible attitude. Desirable • Previous experience with MindBody and SpaSoft. • Previous experience with Forbes standards. • Previous Experience in a leadership role at a luxury club or an equivalent combination of education, training, and experience. SKILLS Required • Ability to maintain discretion and confidentiality of all guests and hotel information. • Ability to remain calm under pressure; able to work as a team or independently. TRAVEL REQUIRMENTS • None. PHYSICAL DEMANDS • Frequent or occasional need to perform the following physical activities: reaching, bending, pushing, pulling, twisting, lifting, and climbing. Have frequent need to perform standing and walking activities related to inspecting property. • Constant need to perform the following physical activities: grasping, turning, finger dexterity. • Frequent need to stand for long periods of time. • Lifting/carrying up to 25 lbs. frequently and 50 lbs. occasionally. • Vision requirements: constant need to view small print. Frequent need to see small details and things clearly beyond arms’ reach. • Hearing requirements: constant need to speak on the telephone and/or two-way radio, respond to the general public and converse with staff.
